1Scope

This policy covers information Clearline Supply Co. LLC collects through www.novacoresupply.us and in the course of operating accounts. We sell to organizations, so most of what we hold is business contact information rather than personal information, but some of it identifies individuals and this policy covers that.

We do not sell personal information, and we do not share it for cross-context behavioural advertising.

2What we collect

From an account application

Your name, email address, the business or organization you represent, its industry, the shipping address you give, and your description of the intended use. We also record your acceptance of the research-use agreement and the date you submitted.

From orders and fulfilment

Purchase order numbers, order contents, lot numbers shipped, invoices, shipment tracking, and correspondence about your account.

Automatically

Our host records standard server log data for each request, including the country your request came from. We do not use analytics or advertising trackers, and this site sets no cookies for visitors.

This site loads fonts from Google Fonts. Doing so discloses your IP address to Google. If that matters to you, a font blocker or a privacy-focused browser will stop the request; the site remains readable.

3Why we hold it

To verify accounts
We supply restricted material to verified organizations only. Checking who you are and where you receive shipments is the core of that control, and it is why the application asks what it asks.
To fulfil and support orders
Picking, shipping, invoicing, and answering questions about what you received.
To meet legal and safety obligations
Distributor recordkeeping, safety data sheet distribution, and lot traceability so a recall can reach the accounts that received an affected lot.
To document our own diligence
We keep the application record, including any flags raised and the reason for our decision, as evidence that supply decisions were made in good faith.

4Who we share it with

We share only what a provider needs to do its job:

We will also disclose information where the law requires it, in response to a valid legal request, or to a regulator exercising its authority over distribution of the material we supply. If a business transfer ever occurs, account records may transfer with it.

5How long we keep it

Application records, including declined applications, are retained for seven years. This is deliberate: a declined application is part of the record that we screen buyers, and we would be unable to show that if we deleted it.

Order, invoice, and lot-traceability records are retained for seven years or the period required by tax and distributor recordkeeping rules, whichever is longer.

Server logs are retained for the period set by our hosting provider, currently well under a year.

6Your choices

Write to accounts@novacoresupply.us and we will tell you what we hold about you, correct anything inaccurate, and give you a copy in a portable format. Depending on where you live, you may have a statutory right to these.

You can ask us to delete your information, and we will, except where we must keep it for the compliance and traceability reasons above. We will tell you plainly which records we are keeping and why rather than deleting silently or refusing without explanation.

We do not discriminate against anyone for exercising a privacy right.

7Security

The site is served over TLS. Account and order data sit behind authentication, access is limited to people who need it to run the business, and administrative changes are logged.

No system is perfectly secure. If a breach affects your information, we will notify you and any regulator that must be told, within the time the law requires.

8Not for children

This site is directed to businesses and research institutions. We do not knowingly collect information from anyone under 18. If we learn we have, we will delete it.

9Changes

We will post revisions here and update the effective date. If a change materially affects how we use information already collected, we will email account holders before it takes effect.
